What we collect and why
| What | Why | Our lawful basis |
|---|---|---|
| Your email address, Human Type and streak, when you sign up after the quiz | To send your result, and occasional news about HYGIEIA and membership | Your consent. Unsubscribe any time from any email. |
| Your email address, who membership is for, and your country, when you join the membership list | To tell you when membership opens | Your consent. Ask us to remove you at any time. |
| Your first name, country and family tradition, when you share one | To share it with members and on HYGIEIA’s pages and social media, only if you tick the box to agree | Your consent. Ask us to remove it at any time. |
| Your quiz answers, anonymously (just the answer numbers and the result, with no name, email or anything that identifies you) | To check the quiz is fair and improve it | Our legitimate interest in making the quiz accurate |
| Your quiz and Human Map answers | To show you your map. These stay in your own browser; we don't receive them. | Not collected by us |
| Your name, email and payment, when you buy a report or join | To take payment and give you what you bought. Card details are handled by Stripe; we never see them. | To fulfil our contract with you |
| Your email, password and membership plan, when you join | To create your account, let you log in, and know which plan you have. Your password is handled securely by Memberstack; we never see it. | To fulfil our contract with you |
| Your app progress and memories: which mornings you opened the app, the 2, 10 or 30 minute ideas you tapped, memories you choose to write, the recipes you save as favourites, and your Waste Not, Want Not day | To show your progress and keep your memories, including when you change phone | To fulfil our contract with you. Delete a memory or ask us to delete it all at any time. |
| What your house eats: who's usually eating, how you eat (for example vegetarian or halal), and foods you'd rather not have | To suggest meals that suit your household | To fulfil our contract with you. Change or remove these at any time in the app. |
| Your household's food allergies, if you choose to tell us. This is health information. | To hide meals that aren't safe for your household and show allergy-safe swaps | Your explicit consent, which you give with a tick in the app when you add allergies. Remove them at any time and they're deleted from your account. |
| Your Human Map answers in the app (how you've slept, moved, eaten, rested and connected over the last week) and your map history. This can be health information. | To show your map, what's changed every four weeks, and to suggest ideas for the area you're most squeezed in | Your explicit consent, which you give with a tick before your first map is saved to your account. Without it, your map stays only on your own device. |
| Whether there are children at home | To show the read-aloud notes for children. We don't ask for children's names, ages or anything else about them, and children don't have accounts. Teenagers on a household membership must be 13 or over, and use the log-in of the grown-up who holds the membership. | To fulfil our contract with you |
| Your feedback in the app: how HYGIEIA is for you, anything you choose to write, your account email, and your first name and country only if you tick to be quoted | To improve HYGIEIA, reply to you, and share your words only if you agree | Our legitimate interest in improving HYGIEIA, and your consent for quotes. Ask us to remove anything at any time. |
| What you tell us in a contact or coaching enquiry form | To reply to you | Our legitimate interest in answering your message |
| Your morning reminder sign-up, if you turn reminders on: a code that lets us send a notification to your phone or browser, your device and browser type, your time zone and language, when you last opened the app, and whether your account is for a grown-up or a teenager and your Human Type | To send you one reminder each morning when your note is ready, at the right time where you live | Your consent, which you give by tapping “Yes, remind me” and allowing notifications. Turn them off any time in your phone or browser settings, and we stop. |
| Coaching intake answers, including information about your health | To prepare for and support your coaching safely | Your explicit consent, which you give on the form and can withdraw at any time |
Who else handles your information
We use a small number of trusted services to run HYGIEIA. They only use your information to provide their service to us.
- MailerLite sends our emails and stores your email address and Human Type.
- Stripe takes payments and manages billing.
- Memberstack runs member accounts and log-ins, and stores your plan, progress and memories.
- Netlify hosts this website and receives messages sent through our forms.
- Cloudflare Web Analytics counts visits to this website, without cookies and without identifying you. It records anonymous information such as which pages are viewed, which website sent you here, and your country and type of device.
- OneSignal sends our morning reminder notifications, and stores the details listed above for anyone who turns reminders on. Notifications reach your phone through your browser’s own push service (for example Google’s or Apple’s).
- Google Fonts supplies the fonts on this site, so your browser connects to Google and shares your IP address when pages load.
Some of these companies may process information outside the UK. Where they do, they use the safeguards UK law requires, such as approved contract terms. We never sell your information, and we never use your health information for marketing.
Your browser
This site doesn't use advertising or tracking cookies. After the quiz, we save your Human Type, quiz scores and Human Map answers in your own browser, so your report can find them. The app also saves your type, goal and settings on your device, and uses a cookie to keep you logged in. If you turn on morning reminders, your browser also stores a small background helper and a reminder code from OneSignal so the notification can reach you. You can clear these at any time by clearing your browser's site data.
How long we keep it
- Email sign-ups: until you unsubscribe or ask us to delete them.
- Morning reminder sign-ups: until you turn reminders off, or deleted within 12 months of the last time you opened the app.
- Member accounts, progress and memories: while you’re a member, and deleted within 12 months of your membership ending, or sooner if you ask.
- Purchase records: six years, because UK tax law requires it.
- Coaching records: two years after your last session, then deleted.
Your rights
You can ask to see the information we hold about you, correct it, delete it, or stop us using it. Where we rely on your consent, you can withdraw it at any time. Email hello@hygieiauk.com and we'll reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put it right first.
How to delete your HYGIEIA account
You can delete your HYGIEIA account, and everything in it, at any time. In the app, tap Account, then Delete my account and all my data: this clears everything on your device straight away and opens a ready-written deletion email to us. Press send and we take it from there. Or follow these steps by email:
- Email hello@hygieiauk.com from the email address you use to log in, with the subject “Delete my HYGIEIA account”.
- If you have a paid membership, you can cancel it first in the app (tap Account, then Manage or cancel my membership), or tell us in the email and we'll cancel it for you so you're not charged again.
- We'll delete your account and the information we hold, usually within 7 days and always within 30, and email you to confirm.
What we delete: your login, membership details, Human Type and Human Map answers, app progress, memories, saved recipes, what your house eats and any allergies, your feedback, and your morning reminder sign-up.
What we keep: records of anything you paid for, for six years, because UK tax law requires it. These hold your name, email, what you bought and when, and nothing else.
Just want some of your data removed but keep your account? You can delete memories, allergies and food preferences yourself in the app at any time, or email us and tell us what to remove.
Changes
If we change this notice, we'll update the date at the top. If a change affects you significantly, we'll email you.
